Email: Attachments

The Attachments sub-tab allows you to attach selected reports to the Email. You can attach up to five reports to the email notification.

Attach a report:

  1. Ensure the Email action is selected.

  2. Click the Attachments sub-tab.

    Reports already selected for email attachment are listed. You can modify the listed reports, add new report attachments, or delete an attachment.

    Smart Reports that have Auto-Login functionality enabled should not be listed as attachments as this will cause the report to not display on emails sent via the Rules Manager. If present, you should disable this functionality in the Report Setup on the Smart Elements > Smart Email sub-tab before attaching the desired report to the rule.

  3. Select the desired report from the Attach the following Report(s) field.

    Report names are listed in alphabetical order. 

    If there is a report selected that you no longer want to have attached to the notification, click the Attach the following Report(s) field and select None.

  4. Select the criteria that should be used to determine the records that appear in the report from the Set Criteria using field.

    • Setting the criteria to Event Record returns all the events associated with a given record.

    • Setting the criteria to Report (Saved Criteria) returns all records that match the saved criteria for the report. 

    • Setting the criteria to Event Record (Child) also includes all the child records of the affected record.

    • DO NOT select the Event Record (Other) option. This option is only for Maintenance Connection Support use.

  5. Repeat Steps 3 and 4 for any additional reports.

  6. Choose between two options:

    • If you want to have the content of the first selected report embedded into the email, select the Display first Report in Email Body check box.

    • If you prefer to have the report as an attachment, clear the Display first Report in Email Body check box.

  7. Access the other Send Email tabs and make changes as needed: Settings, Event Recipients, Recipients, and Message Content.

  8. Click Save.
